Fees, timing, changes, insurance and groups - the questions travelers ask Aster Travel Design before we start.

Why use a travel design studio instead of booking myself?

Booking is the easy half. The value sits around it: which neighborhood is quiet at night, which connection needs ninety minutes rather than fifty, which fare rules let you move a date without a penalty. We design the trip, handle the reservations, and stay reachable when something changes.

What kinds of trips do you plan?

Custom itineraries worldwide for couples, families and solo travelers: multi-country Europe, river and ocean cruises, long-haul and safari trips, and multigenerational gatherings where six to twelve people need one plan. We also run a few group departures each year with space held for clients who want company on the road.

How much does it cost to work with you?

Hotel-only and simple domestic bookings are fee-free; suppliers pay us a commission. Custom and multi-country design runs a flat $250 for new clients, invoiced when design begins. Changes before booking are free, and every quote shows total trip cost in writing.

I have always booked my own trips. Why change?

If you like the hunt and the evenings spent comparing fares, keep going; several of our clients still bring spreadsheets to the first call. What we add is time back, fewer surprises, and one person who owns the details when a connection breaks late at night in a city where you do not speak the language.

What do you need from me to get started?

Dates or a window, a budget range, the names and ages of everyone traveling, and passport details once we book. Then tell us what worked on past trips and what you never want to repeat. Being honest about pace and sleep is worth more than a list of sights.

How far ahead should I plan?

For Europe we ask for 90 days, which is how long good hotel inventory and rail seats stay open. Six weeks works for most domestic and Latin American trips. Inside 30 days we can still help, with a $150 expedite fee, because the design compresses into days and evenings.

What happens if we need to change the trip?

Write before the departure deadlines printed in your documents and we will rework what is possible: move a hotel night, shift a rail leg, change a name where the fare allows it. Supplier penalties pass through at cost with no markup, and we quote the price of a change before we make it.

Do we need travel insurance?

We recommend it on every trip that involves flights, and we will say so plainly. The right policy covers trip interruption, medical care, and a delay long enough to miss a connection; evacuation cover matters on remote routes. We do not sell insurance. We send two or three options with the numbers spelled out and you choose.

Can you handle group and multigenerational trips?

Yes, and it is the work we take most carefully. One plan has to suit a toddler's nap, a grandparent's stairs and a teenager's dinner. We build in free afternoons, book rooms with a second bathroom first, and write the daily plan so nobody in the group has to be the organizer.

What if something goes wrong while we travel?

You reach a designer who already knows the itinerary. Message hello@astertraveldesign.com or the number in your brief and we will rebook, reroute or find the nearest clinic. We stay on a problem until it is closed, including overnight when a flight goes, with contacts local to wherever you are.
